1. Scope

This Privacy Policy explains how Orlando AI Expert (“we,” “us,” or “our”) handles personal information when you visit our website, contact us, book a consultation, interact with an AI feature we provide, or become a client. A client’s Project Agreement may include additional privacy, security, or data-processing terms. This policy does not cover a client’s independent handling of information through a system we build for that client.

2. Information we collect

Information you provide

  • Contact details such as your name, email address, phone number, company, and job title.
  • Inquiry and booking information, including messages, scheduling preferences, and consultation notes.
  • Project information such as business requirements, files, credentials, customer or employee data, and content you choose to share.
  • Billing and transaction records. Payment-card details, if applicable, are handled by the payment provider rather than stored directly by us.
  • Communications, feedback, and support requests.

Information collected automatically

Our website and hosting providers may process IP address, browser and device type, referring page, pages requested, timestamps, approximate location derived from IP address, error logs, and security events. We may use privacy-conscious analytics to understand site performance and usage.

AI voice and calling information

The current “Talk to Kai” feature is a preview and does not activate your microphone. If interactive calling is enabled later, we may process audio, call metadata, and transcripts to respond to you, route your inquiry, improve service quality, and maintain safety. We will provide notice and seek consent before recording when required. You should not share sensitive personal, financial, health, or authentication information with an AI assistant unless we specifically request it through an approved secure process.

3. How we use information

  • Respond to inquiries and schedule consultations.
  • Scope, provide, secure, support, and improve our services and deliverables.
  • Configure AI tools and integrations authorized by a client.
  • Send requested service communications and follow up on business conversations.
  • Process payments, maintain records, and enforce agreements.
  • Protect our website, clients, systems, and rights; detect abuse or fraud; and comply with law.
  • Create aggregated or de-identified insights that do not reasonably identify an individual.

We do not sell personal information or share it for cross-context behavioral advertising.

4. AI processing

When an engagement uses an AI model, information included in prompts, files, audio, transcripts, or connected systems may be transmitted to the selected AI provider to generate a response or perform the requested task. We aim to minimize personal information and use appropriate account settings and contractual protections for the engagement. A provider’s retention and model-training practices depend on the product, configuration, and agreement in use. We will identify material client-facing AI providers or processing arrangements in project documentation when appropriate.

Do not submit regulated or highly sensitive data for AI processing unless we have expressly agreed in writing on an appropriate solution and safeguards.

5. How we share information

We may disclose information to:

  • Hosting, email, scheduling, analytics, communications, payment, security, cloud, and AI service providers that help us operate.
  • Contractors and professional advisers who need the information to perform services and are expected to protect it.
  • Platforms and integrations you or your organization authorize.
  • Authorities or other parties when reasonably necessary to comply with law, protect rights and safety, investigate abuse, or respond to valid legal process.
  • A buyer, successor, or adviser in connection with a financing, merger, sale, reorganization, or similar business transaction.

We may also share information at your direction or with your consent.

6. Client data and roles

For some projects, a client determines why and how personal information is processed, and Orlando AI Expert processes that information on the client’s behalf. In those situations, requests about the client-controlled data should usually be directed to the client, and our Project Agreement or data-processing terms will govern our role.

7. Cookies and similar technologies

We may use essential cookies or local storage for security, functionality, and preferences. Hosting and analytics providers may use similar technologies to measure performance and prevent abuse. We do not currently use advertising cookies. You can control cookies through your browser, although blocking essential storage may affect functionality.

8. Data retention

We retain information only as long as reasonably necessary for the purposes described here, including to provide services, maintain business and tax records, resolve disputes, enforce agreements, and meet legal obligations. Retention depends on the type and sensitivity of information and the project requirements. We delete or de-identify information when it is no longer needed, subject to backups and lawful retention requirements.

9. Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information, such as access controls, encrypted connections, reputable service providers, and data minimization. No online system is completely secure, so we cannot guarantee absolute security. If you believe information has been exposed or misused, contact us promptly.

10. Your choices and privacy rights

Depending on where you live and applicable law, you may have rights to request access, correction, deletion, or a copy of certain personal information; to object to or restrict certain processing; or to withdraw consent. You may opt out of non-essential marketing emails using the unsubscribe method provided or by contacting us. We do not discriminate against people for exercising applicable privacy rights.

11. Children

Our website and services are intended for businesses and adults, not children under 13. We do not knowingly collect personal information from children under 13. Contact us if you believe a child has provided information so we can evaluate and delete it as appropriate.

12. Third-party websites and international processing

Our site may link to third-party services whose privacy practices we do not control. Information may be processed in the United States or other countries where our providers operate, subject to the protections available in those locations and any contractual safeguards that apply.

13. Changes to this policy

We may update this policy as our services or legal obligations change. We will post the revised policy with a new “Last updated” date and provide additional notice when required by law.
